Ending or pausing services

Cancellation Policy

This policy explains how customers may cancel a project or recurring service and how TK Web Studio handles work, costs and access after cancellation.

1. How to cancel

Send a written cancellation request to tkwebstudio@outlook.com. Include your full name, business name, project or quotation reference, the service being cancelled and the requested cancellation date.

WhatsApp may be used for an initial notice, but TK Web Studio may ask for email confirmation so the request and effective date are properly recorded.

2. Cancellation before work begins

A project may be cancelled before development begins. Any refund will be assessed under the Refund Policy after reasonable administration, planning and non-recoverable third-party costs are taken into account.

If no meaningful work or external cost has been incurred, TK Web Studio may approve a full refund.

3. Cancellation after work begins

Once development has started, the deposit is normally retained because it covers reserved capacity, planning, design, development and project administration. This is subject to rights that apply under South African law.

TK Web Studio will calculate the reasonable value of completed work and committed third-party costs up to the cancellation date. If that value exceeds the amount already paid, the customer may be invoiced for the difference. If payments exceed the reasonable amount due, a partial refund may be considered.

4. Work and files after cancellation

After all amounts due are paid, TK Web Studio may provide the customer with completed and usable project material that formed part of the paid scope. Unfinished concepts, internal tools, credentials, source systems and reusable components remain subject to the Terms of Service.

TK Web Studio is not required to launch incomplete work or transfer paid third-party accounts that cannot lawfully or technically be transferred.

5. Customer delays and inactive projects

If required content, access, feedback, approval or payment is not provided, the project may be paused and its place in the production schedule may be reassigned.

Where a project remains inactive for 30 days after a written reminder, TK Web Studio may close the active production phase and require a revised schedule before work resumes. A material change in scope, pricing or supplier costs may require an updated quotation.

6. Hosting and monthly care plans

Customers should give at least 30 days' written notice to cancel managed hosting, maintenance or a monthly care plan, unless the quotation states a different notice period. Cancellation takes effect at the end of the paid billing period.

Fees for a billing period already started are normally not refunded after services have been made available or work for that period has begun. Prepaid third-party costs may be non-refundable.

Where a recurring Paystack subscription is used, customers may also cancel through the subscription management link in the Paystack activation or reminder email. Customers should still notify TK Web Studio so that service handover and account access can be coordinated.

7. Cancellation by TK Web Studio

TK Web Studio may pause or cancel services for non-payment, fraud, illegal or harmful content, abusive conduct, serious security risk, repeated failure to cooperate, or material breach of the quotation or Terms of Service.

Where circumstances allow, reasonable notice and an opportunity to correct the breach will be provided. The customer remains responsible for completed work and committed costs up to the effective cancellation date.

8. Domains, accounts and continuity

Domain names should be registered in the customer's name or account where practical. On cancellation, TK Web Studio will provide reasonable assistance to transfer customer-owned accounts after outstanding amounts are settled and required security checks are completed.

Customers are responsible for arranging replacement hosting, backups and technical support before a service ends. Data or files may be deleted after the service ends and any legally required retention period has passed.
